What do I need for my class trip?
Signed waiver forms are required for EVERY student participating in Save The Bay programming (with the exception of when we come into your classroom). Signed waiver forms must be brought on the day of your Save The Bay program. If you don’t have them on the day of the program, we can not deliver your program. Waiver forms are emailed to the main teacher contact at the time they book their program. They are available in English and Spanish. You can also download them here if you misplaced them. Please make sure you give yourself enough time to send these forms home with your students so they can bring them in for the program.
Save The Bay does not provide food during our programming. If your program is long enough and includes a lunch break, please make sure your students bring their own lunches.
Make sure your students dress for the weather. Have them wear layers of clothing (especially aboard the boats), closed-toed shoes are highly suggested. If the weather has potential to be inclement, please pack layers and a rain coat.
Directions to any of our destination sites are sent to the teacher/main contact when their program is confirmed. And again 3-5 days prior to your scheduled program date from your Save The Bay Educator.

Program cancellations by a school or group must be done two weeks prior to their confirmed date. This is communicated at the time of booking and is included on the contract. Failure to provide two week notice will result in forfeiting your deposit.
Participant safety is our priority. Save The Bay reserves the right to cancel a program within 24 hours. Cancellations on Save The Bay’s behalf are usually the result of the wind or weather. Cancellations are decided in accordance with Save The Bay’s foul weather or excessive heat policy. Programming takes place rain or shine.
Cancellations are done no earlier than 24 hours in advance of the scheduled school program.
If Save The Bay cancels a school or group program all efforts are made to reschedule. If a reschedule date is not an option Save The Bay will offer an alternative program in collaboration with the school or group contact. If neither can be worked out, their deposit will be refunded.
We are excited to have you and your students/group join us. We are sure you have a lot of questions regarding your upcoming program. You will be hearing from one of Save The Bay’s Lead Educators 3-5 days prior to your program via email. They will confirm with you logistics for the day (arrival and departure time, agenda for the day, lunch time, etc) and answer any other questions you have. Please be sure to check your email and respond to us so we can ensure your program is a success.
Save The Bay Education staff have all been trained in Basic First Aid/CPR.
Our boat captains are licensed by the US Coast Guard license.
Save The Bay does not have a bus nor do we schedule bus transportation for any programs. We do recognize that bus costs can be astronomical and can be an obstacle to getting your students to your destination. We do have a limited amount of funding available on a first come first serve basis to help alleviate a portion of the transportation cost. These are offered in $50 increments with a maximum of $150 per trip. Funding is determined based on where your school falls within the free lunch program. You must apply to be considered using the form on our website in order to be considered for funding. Funding is not guaranteed and is limited based on available funds.
BUS TRANSPORTATION APPLICATION
Chaperones are considered teachers, teacher assistants, parents, etc. We require 2 chaperones per 30 students. Chaperones need to fill out our Chaperone Policy and Waiver form. Boat programming has a participant capacity limit of 32 people (not including Save The Bay staff). If there is a surplus of chaperones, they will not be able to participate in the boat program.
For The Exploration Center and Aquarium, 7 chaperones are included with your contract fee. Any additional chaperones will be charged $9/per person.
Exploration Center and Aquarium-specific programming
We recommend refraining from touching the animals.
We will either set up space in the aquarium or in rotunda hallway, per teacher’s preference.
All restrooms are public. In winter, they are in the rotunda hallway and in summer, under the nearby cabanas.
That needs to be set up in advance. Contact the City of Newport for details about the carousel ((401) 845-5810), and with the Snack Shack ((401) 855-1910) for details about buying lunch.
